agreements & arrangements

Transportation

Unless your event is less than a 3 hour drive away, please arrange to fly Alicia and her assistant to the airport most convenient for you. Alicia has no preference regarding airlines and she does not fly first class so feel free to check schedules on any airline for 2 coach tickets from Springfield, Missouri (yes, that major airport hub). Alicia's event manager, Cherri, will work closely with you to finalize a travel schedule. Once the schedule is agreeable to all, please book the flights directly and send the e-tickets and confirmation codes to Cherri Pike. Alicia is often offered a rental car once she arrives, but, in her own words, she is a "directionally-disoriented." Truly, thank you for your offer but it would be safer for her (and for the lovely people of your city) if you simply asked some kind soul to make sure she arrives at the right place, at the right time, in the right state...

Housing

Alicia and her assistant are happy to share a non-smoking room with 2 double beds (and an iron). She rarely eats a big breakfast before she speaks so please don't go to any extra expense to ensure a fabulous "breakfast bar"...She does however work out almost daily and it's always a special treat for her when hotels have great fitness centers.

Powerpoint

Alicia combines the verbal with the visual and almost always uses PowerPoint. She creates her own presentations on a Dell Inspiron 600m and can bring the file and accompanying fonts on a CD, memory stick, or her computer. Well before she speaks, please check the file for any incompatibilities. Her assistant will always be prepared to click through her presentation. If PowerPoint will not be available, please notify team onewholeworld immediately.

Alicia's assistant

After traveling alone for a few years, Alicia is now so grateful for Jesus' example of sending workers out in pairs! According to their ministry board policy, she always travels with a companion. The primary responsibilities of Alicia’s assistant include managing the final details for PowerPoint and sound; setting up the resource table and training those assisting; being Alicia’s liaison for the on-site hostess regarding meals, rides, and schedules; and enabling Alicia to focus on God’s Word and God’s people by managing all administrative details.

On-site hostess

An on-site hostess is always a blessing! If available, they connect with Alicia’s assistant to coordinate the following details: airport transportation arrangements, meals, rides to and from the conference, table arrangements, schedule, and any needs that may arise during Alicia’s visit.

Sound

Alicia always says she's "a soundman’s nightmare." People continually say they could listen to her voice all day long, that it's "soothing and healing"…but soundmen find her voice difficult to mic. If it’s not too inconvenient, she prefers to use her own headset which has a transmitter in the head piece (she often wears outfits that do not have a belt or waist band to attach a receiver to). We would be blessed if arrangements could be made for a sound check no later than one hour before guests arrive.

Cancellation policy

In ten years of speaking, Alicia has only cancelled engagements on three occasions: once when she was blessed with a new baby and couldn't travel overseas, once because of a sudden (and miserable) severe flu, and then the Fall of 2005 when she had emergency surgery that quite literally kept her in bed for a month.

If Alicia has to cancel your event for any reason, she will reimburse your airfare expenses, return your 20% honorarium deposit, and suggest a few wonderful replacement options.

If your event needs to cancel for any reason, a percentage of your intended honorarium will be due based on how close the cancellation date is to the actual event. These arrangements are detailed in a one-page contract agreed to and signed when the date is officially booked.

Resource table arrangements

If possible, please provide two covered or skirted 8’ tables for resources. An L-shaped arrangement placed in a high-traffic area for visibility is always preferred. Please also provide one or two volunteers to assist in resource sales. (This is a moment for those gifted with obsessive attention to detail to shine!) For conferences where Alicia is the only plenary speaker, please provide in your scheduling a 3-5 minute window sometime after her first session for Alicia to introduce her resources. Alicia prefers this window to be during other announcements as opposed to right before or after she speaks. This window greatly reduces the number of questions table volunteers need to field.

Book signings

Alicia is always more than happy to sign books. Signings are normally scheduled after one of her sessions at her resource table. A separate table and chair for the signing is helpful.

Recording

Recording of Alicia’s message is permitted if Alicia is speaking only once or is sharing the same message several times (e.g., several Sunday morning services). Otherwise, rights to record are not granted without written permission of team onewholeworld. Audio and book versions of several of Alicia’s presentations are available at her resource table.

Honorarium arrangements

Please make Alicia’s honorarium check (and the corresponding W9) out to "onewholeworld."
